What's in the template
Count tab
SKU, Product, Location / bin, System qty, Counted qty, Variance (units), Variance %, Unit cost, Variance value, Counted by, Notes
White cells are inputs. Green cells are formulas, so don't type over them. Sample rows are included so you can see how it works. Delete them and add your own.
How to use it
- Export your inventory from Shopify admin (Products, Export) and paste SKU, title and quantity into the sheet.
- Pause receiving and, if you can, fulfillment while you count, so the numbers don't move.
- Count each bin and type the counted quantity. Leave a cell blank until it's counted.
- Sort by variance value. Recount anything large before changing stock in Shopify.
- Update Shopify to the counted numbers and save the sheet as your count record.
The math
Variance value = variance × unit cost

FAQ
How often should I count inventory?
Most small stores do a full count once or twice a year and cycle count their best-sellers monthly. Fast movers drift the most, so count them more often.
What's an acceptable variance?
Many stores aim for under 1 to 2 percent of units across the count. Any single SKU with a big dollar variance is worth a recount regardless of the percentage.
