What's in the template
PO number, date, expected delivery, payment terms, your details, supplier details, ship-to, up to 20 line items (your SKU, description, supplier SKU, quantity, unit cost, line total), subtotal, shipping, tax and total.
White cells are inputs. Green cells are formulas, so don't type over them. Sample rows are included so you can see how it works. Delete them and add your own.
How to use it
- Fill in your business details once and save the file as your master copy.
- For each order, set a new PO number (most stores count up from 1001) and the date.
- Add the supplier, ship-to address, expected delivery date and payment terms.
- List each item with your SKU, the supplier's SKU, quantity and unit cost.
- Export to PDF and email it to the supplier. Keep a copy to check against what arrives.
The math
Total = subtotal + shipping + (subtotal × tax rate)

What should a purchase order include?
A PO number, date, your business and the supplier's details, the ship-to address, each item with quantity and unit cost, the total, the expected delivery date and payment terms.
Does Shopify have purchase orders?
Yes. Shopify admin lets you create purchase orders and receive stock against them. It doesn't tell you what to order or when, which is what a reorder plan or an app like SteadyShelf adds.
