Reading your reorder plan
What each status means, how the suggested quantity is worked out, and how to check the math on any product.
The reorder plan is the main screen. Products are grouped by supplier, and each row shows days of stock left, a status, and a suggested order quantity.
Statuses
| Status | Meaning |
|---|---|
| Order now (red) | The order-by date is today or already passed. Order today or you'll likely sell out before the restock arrives. |
| Order within N days (red) | Order-by date is within the next 7 days. |
| Order within N days (yellow) | Order-by date is 8 to 21 days away. Plan it into your next order with that supplier. |
| On track (green) | More than 21 days before you need to order. |
| No recent sales | Nothing sold in the sales window, so there's nothing to reorder. |
| New badge | Fewer than 14 days of sales history. Treat the numbers as a rough estimate. |
How the numbers are calculated
- Daily sales rate: units sold over the last 28 days (your sales window) divided by the days counted. Days when the product was out of stock and sold nothing are skipped, so a stockout doesn't make a product look unpopular.
- Seasonality: once SteadyShelf has about 13 months of your sales history, it adjusts the rate up or down based on how the same period went last year.
- Stock on hand: your available stock plus anything on purchase orders you've sent but not fully received.
- Days left = stock on hand ÷ daily sales rate.
- Order by = days left − supplier lead time − safety buffer.
- Suggested qty = daily rate × (lead time + days of stock to order for) − stock on hand, rounded up to the case pack and minimum order if you've set them.
Click Show math on any row to see these steps with that product's real numbers.
Creating an order from the plan
Red items are checked for you. Check or uncheck anything, then click Add checked to draft PO. SteadyShelf creates one draft purchase order per supplier. See purchase orders.
Products without a supplier
Products whose vendor isn't assigned to a supplier show under a prompt to add suppliers. They still get a forecast, but you need a supplier before they can go on a purchase order.
FAQ
Why does a product say Order now when I still have stock?
Because stock left is less than the supplier's lead time plus your safety buffer. For example, 20 days of stock with a 21-day lead time and 7-day buffer means you're already late to reorder.
Why is the suggested quantity 0 for a red item?
It can happen if stock on hand, including incoming purchase orders, already covers lead time plus your order cover days. Check Show math to see each step.
Does SteadyShelf use multiple locations?
Forecasts are store-wide: SteadyShelf adds up available stock across all your locations. When you receive a purchase order you choose which location the stock goes to.
Why is my forecast different from last year's numbers?
On install, Shopify only lets apps read the last 60 days of orders, so seasonality starts once SteadyShelf has built up about 13 months of history. Until then the plan uses your recent sales rate.
