Creating and sending purchase orders

Turn the plan into purchase orders, edit quantities, and email them to suppliers with a CSV attached.

Create a draft

On the reorder plan, check the products you want and click Add checked to draft PO. Items are grouped into one draft per supplier. If that supplier already has a draft, the items are added to it (an item already on the draft gets the new quantity).

Edit the draft

Open Purchase orders, change any quantity and click Save quantities. Set a quantity to 0 to drop a line.

Send it

  • Send to supplier: emails the order from SteadyShelf on your behalf, with a CSV attached. Replies go to your store's email address. You can add a note, choose whether to include unit costs, and copy yourself.
  • Open in my email app: opens a ready-written email in your own mail app.
  • Export CSV: download the order to upload into a supplier portal.
  • I sent it myself, mark as sent: if you ordered by phone or portal.

Once a PO is marked sent, its quantities count as incoming stock on the reorder plan, so you won't be told to order the same thing twice.

Statuses

Draft → Sent → Partially received → Received. You can cancel a draft or sent PO at any time. Each PO gets a number starting at #1001.

Unit costs come from the "Cost per item" on each product in Shopify. Amounts show in your store's currency.

FAQ

Does the supplier see it came from SteadyShelf?

The email is sent in your store's name with a small line saying it was sent with SteadyShelf on your behalf, and replies go to your store email.

Does SteadyShelf create purchase orders inside Shopify admin?

No. Shopify doesn't let apps create purchase orders in its native purchase order screen yet, so your POs live in SteadyShelf. Receiving them still updates your Shopify inventory.

Why is a unit cost blank?

That product has no Cost per item set in Shopify. Add it on the product page in Shopify and click Sync now in SteadyShelf.

Still stuck? Email support@steadyshelf.app. A real reply, usually within a few hours, 7 days a week. Include your store's .myshopify.com address and a screenshot if you can.
