What is Stock keeping?

Stock keeping is the general practice of tracking, organizing and recording inventory so a store always knows what it has, where it is and how much is on hand.

For a small Shopify store, stock keeping is the foundation everything else depends on. If you don't know your actual on hand quantity per variant, you can't forecast sales, you can't set a reorder point, and you can't trust your purchase orders.

Good stock keeping means every SKU has a clear identity, a consistent unit of measure, and a count that matches reality. Store owners use it day to day by updating stock when orders come in, when stock arrives from suppliers, and when counts are checked, so the numbers in Shopify stay close to what's actually on the shelf.

Example

A candle store sells three scents, each in two sizes, giving six SKUs. The owner keeps a simple record for each: SKU code, current quantity, and reorder point. When 12 units of "Vanilla Large" arrive from the supplier, the owner logs them in immediately so the on hand count goes from 8 to 20, instead of waiting until the end of the week and forgetting the exact number.

Common mistakes

  • Updating stock counts in batches instead of as events happen, which leaves gaps between system and reality.
  • Using inconsistent SKU names or codes across suppliers, spreadsheets and Shopify.
  • Treating stock keeping as a once-a-year task instead of an ongoing habit.

FAQ

Is stock keeping the same as inventory management?

No. Stock keeping is the basic practice of tracking and recording what you have. Inventory management is broader and includes planning, forecasting, reordering and deciding how much stock to carry.

Do I need special software for stock keeping?

Not necessarily. A small store can start with a simple spreadsheet listing each SKU and its quantity, as long as it's updated consistently every time stock moves in or out.
