What is Inventory count sheet?
An inventory count sheet is a document used to record quantities of each SKU found during a physical count, usually listing the SKU name, location, counted quantity, and the system quantity for comparison.
For a small Shopify store, a count sheet keeps a stocktake organized. Without one, it is easy to double count a shelf or skip a product entirely, especially when counting candles or apparel sizes that look similar.
Use the sheet to write down what you physically count before touching your Shopify admin. Compare it against your system quantity afterward, then enter adjustments for any mismatches so your on hand numbers are accurate again.
Example
A candle store counts its lavender candle on the shelf. The sheet shows 40 units counted by hand. Shopify shows 45 units on hand. The owner enters an inventory adjustment of minus 5 units and notes it as shrinkage on the count sheet for reference.
Common mistakes
- Not recording the count location, which makes recounts and audits harder.
- Counting from memory instead of writing numbers down as you go, which leads to errors.
- Forgetting to reconcile the sheet against the system count afterward, so the sheet becomes useless paperwork.
