Inventory glossary
What is Inventory audit?
Inventory audit is a formal check of your inventory records against what you actually have in stock, done to confirm the numbers you use for accounting and reordering are correct.
For a small Shopify store, your reorder decisions and your financial reports both depend on inventory numbers being right. If your system says you have 40 units of a candle scent but you really have 25, you will run out before you expect to and your cost of goods sold will be wrong too.
An inventory audit is how you catch and fix that gap. You pick a point in time, count what is actually on the shelf, compare it to your records, and adjust the records to match reality. Small stores usually do this once or twice a year for the full catalog, sometimes combined with ongoing cycle counts on high-value items in between.
Example
A candle store's system shows 120 units of "Vanilla 8oz" in stock. During an audit, staff count the shelf and backroom and find 108 units. The 12 unit gap is logged as shrinkage or a counting error, and the system is adjusted down to 108 so future reorder calculations use the correct number.
Common mistakes
- Auditing only once a year with no checks in between, so errors build up unnoticed.
- Not investigating why counts are off, just adjusting the number and moving on.
- Counting everything at once instead of focusing audits on high-value or fast-moving SKUs first.

FAQ
How often should a small Shopify store run an inventory audit?
Most small stores do a full audit once or twice a year, and use cycle counts on their best sellers more often, maybe monthly, to catch problems sooner.
What is the difference between an inventory audit and a cycle count?
An inventory audit usually covers your whole catalog at one point in time. A cycle count checks a smaller group of SKUs on a rolling schedule, so you are always verifying something without stopping the whole business.
