What is Blanket purchase order?

A blanket purchase order is a single agreement with a supplier covering a set quantity or dollar amount of goods over a period, released in smaller shipments as needed rather than ordered all at once.

A blanket purchase order helps a small store lock in pricing and supply with a key vendor without tying up cash or storage space on a single large delivery. It works well for materials or products you reorder often, like packaging or a best-selling variant, where the supplier is willing to trade a volume commitment for a lower price or guaranteed capacity.

To use it well, agree on a total quantity or spend, a time window, and rough delivery schedule, then release actual orders against that agreement as your stock runs low. Keep track of how much of the blanket order remains so you do not overcommit or let the agreement expire with product still owed.

Example

A candle store agrees with its wax supplier on a blanket PO for 2,000 jars over six months. Instead of placing a new order every time, the store releases 300 jars in January, 400 in February, and so on, until the full 2,000 is used.

Common mistakes

  • Treating the blanket PO total as stock already on hand instead of a ceiling to draw against.
  • Forgetting to track how much of the agreed quantity has already been released.
  • Not revisiting the agreement when sales patterns shift, leaving a store locked into the wrong volume.

Blanket purchase order and SteadyShelf

SteadyShelf drafts and sends individual purchase orders based on forecasted demand and lead time, so it works well for releases against a blanket PO but does not manage the overall blanket agreement itself.

FAQ

Why would a small store use a blanket purchase order instead of regular purchase orders?

If a supplier wants a signed commitment to a yearly volume before offering their best price, a blanket PO gives them that without forcing you to take all the stock at once.

Does a blanket purchase order mean the supplier ships everything at once?

No. A blanket PO is a standing agreement. Each release is a separate order with its own ship date and quantity, drawn against the agreed total.
