Inventory by store type

Inventory management for Shopify surf shops

Surf shops juggle board sizes, wetsuit thicknesses, and wax that goes stale, all while demand swings with the swell and the season. SteadyShelf keeps reorder timing straight across all of it without you tracking spreadsheets by hand.

The inventory problems surf shops run into

  • Wide variant spread. boards and wetsuits come in many size, thickness, and fin-setup combinations, so a single style can turn into dozens of SKUs to track separately.
  • Weather-driven demand swings. sales can spike hard before a swell or cold snap and go quiet right after, making manual reorder guesses unreliable.
  • Mixed supplier types. you might order wetsuits from a big brand on a set wholesale schedule, boards from a small local shaper with no fixed lead time, and accessories from an overseas factory with long shipping times, all needing different order timing.
  • Perishable-ish accessories. wax, sunscreen, and traction pads degrade or go out of style by season, so overordering ties up cash in stock that loses value.
  • Case pack and MOQ mismatches. a supplier might require a minimum order of a dozen leashes or a full case of wax, which does not match how few units a small shop actually sells per week.

Seasonality and demand

Surf shop demand follows water temperature and swell patterns more than the calendar. Wetsuit sales climb hard as water cools in autumn and stay strong through winter, then drop off in late spring. Board and accessory sales often spike around good swell forecasts and summer travel season, with boardshorts, rash guards, and sunscreen peaking as the weather warms. Wax demand shifts with temperature too, since surfers switch between cold, cool, and warm water wax formulas through the year. Plan ahead by placing wetsuit orders before water starts cooling, not after, since supplier lead times mean a late order misses the first cold snap entirely. Keep more safety stock on fast-moving accessories heading into summer, when a single good weekend can clear out wax and leashes.

Suppliers, lead times and minimums

Surf shops typically order from three kinds of suppliers. Big wetsuit and apparel brands usually run on set wholesale terms with predictable lead times, often several weeks, and case pack minimums by size curve. Local or regional board shapers and glassers may have informal, variable lead times and small minimums, sometimes just one board at a time. Overseas accessory factories, for items like leashes, fins, and wax, often take several weeks to arrive and may require larger case packs or minimum order quantities to make the shipping worthwhile. Knowing each supplier's real lead time and minimum matters more than guessing from memory.

Worked example

Say you sell a 4/3 wetsuit in size MT (medium tall) and average 1.5 units a day in early autumn as water cools. Your supplier's lead time is 10 days and you keep 5 safety days, so your reorder point is 1.5 x (10 + 5) = 22.5, rounded up to 23 units. You want 20 days of cover, you currently hold 18 units with none on order, so order quantity is 1.5 x (10 + 20) - (18 + 0) = 45 - 18 = 27 units. If the supplier's case pack is 6, SteadyShelf rounds that up to 30 units on the draft purchase order.

A simple system to start this week

  1. List every variant you sell by size, thickness, and color as its own SKU in Shopify, not just the parent product.
  2. Confirm lead time and case pack or MOQ for each supplier, from the local shaper to the overseas wetsuit brand.
  3. Set safety days higher for board and wetsuit suppliers with inconsistent lead times, lower for reliable local suppliers.
  4. Review the weekly reorder email before each predicted seasonal peak, not just when stock runs low.
  5. Approve draft purchase orders promptly so they go out before your order-by date, especially for overseas accessory suppliers.
  6. Receive stock into Shopify as it arrives, including partial shipments, so forecasts stay accurate.

How SteadyShelf fits surf shops

SteadyShelf fits a surf shop's core retail stock well: wetsuits, boards you buy finished, leashes, fins, wax, and apparel, each tracked as its own SKU with its own supplier lead time. It will not help with custom board builds, moving stock between a shop and a storage unit, or tracking wax expiry dates, so you will still need separate habits or tools for those parts of the business.

FAQ

Does SteadyShelf handle transfers between my retail shop and my storage warehouse?

No. SteadyShelf tracks stock in one Shopify location only. It does not move inventory between a retail store and a warehouse or between two shop locations. If you run stock between a shop floor and a storage unit, keep doing that manually or with a dedicated transfer tool, and let SteadyShelf handle the reorder math for total stock on hand.

I work with a local shaper who builds boards to order. Can SteadyShelf manage that?

No. Board shapers and glassers are manufacturing, and SteadyShelf does not do bills of materials or production scheduling. It works for stock you buy finished and resell, like wetsuits, leashes, wax, and fins. If you also build custom boards to order, track that production outside SteadyShelf and use it only for your off-the-shelf inventory.

How does SteadyShelf handle wax and sunscreen that expire or go stale?

Wax and sunscreen have real shelf life, but SteadyShelf does not track lot numbers or expiry dates. Build that into your ordering habits instead: order wax and sunscreen in smaller, more frequent batches tied to the current season rather than one big buy, and rotate stock so older product sells first. SteadyShelf will still tell you when it is time to reorder based on sales pace.
