Inventory management for Shopify sports nutrition brands

Sports nutrition stores juggle protein powders, pre-workouts, and bars across flavors and sizes, all with expiry dates that creep up faster than most owners expect. Getting the reorder timing wrong means dead stock or empty shelves right when gym traffic spikes.

The inventory problems sports nutrition brands run into

  • Flavor and size proliferation. a single protein powder can come in 8 flavors and 3 sizes (1 lb, 2 lb, 5 lb tub), and each variant sells at a different rate, so one reorder point per product doesn't work.
  • Short-dated stock. powders and ready-to-drink shakes often carry 12-18 month shelf lives from the day they land, and bars can be shorter, so overordering ties up cash in stock you may have to discount or write off.
  • Supplement brand MOQs. many manufacturers require a minimum order per SKU or per flavor to even open an account, which forces you to buy more of slow-moving flavors than you'd like.
  • Backorders from manufacturers. popular pre-workout SKUs go out of stock at the supplier level during launches or reformulations, so your order-by date can slip even when you plan correctly.
  • Bulk vs. single-serve packaging. the same product often ships as single packets, boxes of packets, and tubs, each with its own case pack size, which complicates rounding your order quantities.

Seasonality and demand

Demand usually builds from late December through spring as New Year's resolution shoppers and bulking-to-cutting cycles kick in, then holds through summer with beach-season buyers. Fall often brings a smaller bump around back-to-gym routines after summer travel. Pre-workout and fat burner categories tend to spike harder around January, while protein and recovery products stay steadier year-round. Plan safety stock increases ahead of January based on last year's actual sell-through, not guesswork, and build in extra lead time for imported ingredients or private label runs that slow down around the same period everyone else is reordering.

Suppliers, lead times and minimums

You'll typically deal with three supplier types: domestic contract manufacturers and private label partners, branded supplement distributors who carry multiple lines, and overseas raw ingredient or finished goods suppliers for white-label products. Domestic distributors often turn orders around in a week or two once you're set up. Private label and custom-formula manufacturers often take several weeks for production runs, especially if you're waiting on a flavor system or packaging. Overseas suppliers often take several weeks or more, and MOQs can run from a handful of cases per flavor to a full pallet, so factor that into how many flavors you can realistically stock at launch.

Worked example

Say your store sells a 2 lb chocolate whey protein at an average of 4 units a day. Your manufacturer's lead time is 14 days and you want 5 safety days, so your reorder point is 4 x (14 + 5) = 76 units. If you want 30 days of cover on top of lead time, your order quantity target is 4 x (14 + 30) minus whatever you have on hand and on order. If you currently hold 40 units and have 0 on order, that's 4 x 44 - 40 = 136 units needed, which you'd then round up to the nearest case pack, say 12-count cases, landing on 144 units ordered.

Try it with your own numbers in the reorder point calculator, or size your buffer with the safety stock calculator.

A simple system to start this week

  1. List every variant (flavor and size combo) as its own SKU in Shopify so forecasting isn't blended across flavors.
  2. Set each supplier's real lead time, including extra days for private label production runs or overseas shipping.
  3. Add safety days per SKU based on how volatile that flavor's sales are, not a flat number across your whole catalog.
  4. Enter case pack sizes and MOQs per SKU so suggested order quantities round to what your supplier will actually accept.
  5. Review the order-by date list weekly and approve draft POs before they're due, especially heading into January.
  6. Track expiry dates yourself outside SteadyShelf and flag any lots nearing their sell-by window for promotion or bundling.

How SteadyShelf fits sports nutrition brands

SteadyShelf forecasts each flavor and size separately, tells you when to order from each supplier based on their lead time, and drafts the purchase order so you're not doing spreadsheet math during your busiest season. It does not track lot numbers or expiry dates, so you still need a separate system or simple log to monitor shelf life and rotate stock, and if you sell through multiple locations or warehouses it won't handle transfers between them.

FAQ

Can SteadyShelf track expiry dates on my protein powder lots?

No. SteadyShelf forecasts sales and timing for reorders but doesn't track lot numbers or expiry dates. Keep a simple spreadsheet or use your supplier's lot info alongside SteadyShelf, and flag aging stock for a promotion before it gets close to its sell-by date.

I sell the same tub size in eight flavors. Will SteadyShelf treat them as one product or separately?

SteadyShelf forecasts at the variant level, so each flavor is treated as its own SKU with its own sales history and reorder timing. This matters in sports nutrition because flavors like chocolate and vanilla often outsell newer or niche flavors by a wide margin.

Does SteadyShelf handle MOQs from my private label manufacturer?

Yes, you can set minimum order quantities and case pack sizes per SKU, and SteadyShelf rounds its suggested order quantities to match what your manufacturer requires. It doesn't negotiate or manage your manufacturing run itself, just the ordering math and timing.
