Inventory management for Shopify oral care brands

Oral care brands juggle dozens of flavor, size, and pack variants, often from suppliers who ship slowly and in large case lots. Getting reorder timing wrong means empty shelves on your best-selling toothpaste flavor or a warehouse full of mouthwash nobody wants yet.

The inventory problems oral care brands run into

  • Flavor and size proliferation. A single toothbrush head or toothpaste line can split into mint, charcoal, kids, and travel-size variants, each needing its own reorder tracking.
  • Replacement part dependency. Electric toothbrush heads and floss refills sell on a replenishment cycle tied to the handle or dispenser you sold months ago, so demand lags the original sale.
  • Expiry and shelf life. Toothpaste, mouthwash, and whitening gels have printed expiry dates, and selling near-expired stock can trigger returns or complaints.
  • Ingredient and formula changes. Suppliers sometimes reformulate or repackage a product, which can leave you with old packaging stock to clear before switching SKUs.
  • Case pack mismatches. Toothpaste and floss often ship in large case packs that do not divide evenly by your typical order size, leading to overstock on slow variants.

Seasonality and demand

Oral care has modest but real seasonal pulls. Expect upticks around New Year resolutions, back to school, and gifting periods like holidays when gift sets and electric brush kits sell more. Dental hygiene month campaigns and influencer promotions can also create short demand spikes that are hard to predict from sales history alone. Plan safety stock higher heading into January and the holiday season, and watch for one-off marketing pushes that can empty shelves faster than your normal lead time allows.

Suppliers, lead times and minimums

Oral care brands typically order from contract manufacturers overseas for toothpaste, mouthwash, and bamboo or electric toothbrushes, and from domestic distributors for packaging or private label finishing. Overseas suppliers often take several weeks to produce and ship, and they frequently require minimum order quantities measured in cases, not units, especially for toothpaste tubes and floss. Domestic or regional suppliers tend to have shorter lead times but may charge more per unit and still enforce case pack minimums for brush heads or travel kits.

Worked example

Say your bamboo toothbrush 4-pack sells 3 units a day on average. Your supplier lead time is 20 days and you keep 5 safety days, so your reorder point is 3 x (20 + 5) = 75 units. You currently hold 40 units and have 20 on order. If you want 30 days of cover, order quantity = 3 x (20 + 30) - (40 + 20) = 150 - 60 = 90 units. SteadyShelf would round that 90 up to the nearest case pack, say 96 units in four cases of 24, and flag the order-by date so the new stock lands before you dip below the reorder point.

Try it with your own numbers in the reorder point calculator, or size your buffer with the safety stock calculator.

A simple system to start this week

  1. List every variant by flavor, size, and pack count, and make sure each has its own SKU in Shopify.
  2. Confirm each supplier's typical lead time and minimum order quantity, including case pack sizes for toothpaste and brush heads.
  3. Set safety days higher for any SKU made overseas or tied to a single supplier.
  4. Let SteadyShelf calculate order-by dates and suggested quantities rounded to case packs.
  5. Review and approve draft purchase orders before they are emailed to suppliers.
  6. Receive stock into Shopify as it arrives, including partial shipments, so forecasts stay accurate.

How SteadyShelf fits oral care brands

SteadyShelf forecasts each toothbrush, toothpaste, and floss variant on its own, including seasonal patterns like January and holiday spikes, and tells you when to reorder from each supplier. It drafts the purchase order, emails it once you approve, and receives stock including partial shipments into Shopify. It does not track expiry dates or lot numbers, so you still need a simple system to rotate stock and watch shelf life on toothpaste and mouthwash.

FAQ

Does SteadyShelf track expiry dates on toothpaste or mouthwash?

No. SteadyShelf does not track lot numbers or expiry dates. Keep a simple spreadsheet or label batches by purchase order date, and check your oldest stock first when you pack orders. If you sell on short-dated or clearance items, pull those SKUs out of forecasting and sell through them manually.

How does SteadyShelf handle multiple toothbrush flavors or sizes?

Set up each flavor, size, and pack type as its own variant or SKU. SteadyShelf forecasts at the variant level, so a 3-pack and a single toothbrush are treated as separate items with their own order-by date and quantity, even if they come from the same supplier.

Can SteadyShelf manage bundles like a toothbrush and refill head kit?

If you sell a "starter kit" bundle of toothbrush plus heads plus case, SteadyShelf does not break that bundle down into component demand automatically. Track the bundle as its own SKU with its own stock count, and manage the components it's built from as a separate manual process or in your inventory build sheet.
