Inventory management for Shopify home fragrance and diffuser brands

Candles, reed diffusers and room sprays sell in dozens of scent and size variants, and running out of your bestselling scent during a gift season costs real revenue. SteadyShelf tracks each variant separately so you know what to reorder and when.

The inventory problems home fragrance and diffuser brands run into

  • Scent and size variant sprawl. a single candle line in 5 scents and 3 sizes is 15 SKUs to track, and each one sells at a different rate.
  • Wax and fragrance oil supply gaps. your candle maker may run out of a specific wax blend or fragrance oil, delaying your finished goods even if you ordered on time.
  • Glass and vessel lead times. custom jars, diffuser bottles and reed packaging often come from separate suppliers than the wax or liquid fill, so one SKU depends on two supply chains syncing up.
  • Breakage and partial shipments. glass vessels arrive broken or short-shipped more often than other product types, so what you ordered is not always what lands on the shelf.
  • Fragrance batch consistency. reordering the same scent name does not always mean the same fragrance oil batch, which can affect how customers perceive quality even though SteadyShelf has no way to track batch numbers.

Seasonality and demand

Home fragrance has sharp seasonal peaks. Q4 holiday scents (cinnamon, balsam, pine) and gift sets dominate October through December. Spring brings floral and citrus scent refreshes, and Mother's Day and Valentine's Day create short sharp demand spikes for gift-sized items. Summer often slows for candles but can lift for lighter diffuser scents and outdoor citronella lines. Plan your order-by dates around these shifts: place holiday scent orders in late summer so production and shipping land before the Q4 rush, and don't assume a quiet summer SKU will stay quiet once fall arrives.

Suppliers, lead times and minimums

Suppliers in this vertical split into a few types: private-label candle and diffuser manufacturers (often overseas, with case pack minimums per scent and size), domestic contract fillers who can turn orders around faster but at higher cost, and component suppliers for glass vessels, reed sticks, and caps who may ship separately from the fill. MOQs are usually set per scent per size, often in case packs of 6 or 12 units, and overseas manufacturers often take several weeks to produce and ship, while domestic fillers are typically faster but still need lead time for custom labels.

Worked example

Say your store sells a 10 oz "Fireside" candle at an average of 4 units a day. Your contract filler has a 21-day lead time, and you keep 5 days of safety stock, so your reorder point is 4 x (21 + 5) = 104 units. You currently hold 60 units on hand with 40 already on order. If you want 30 days of cover, order quantity = 4 x (21 + 30) - (60 + 40) = 204 - 100 = 104 units, which SteadyShelf rounds up to 108 to match the supplier's case pack of 12.

Try it with your own numbers in the reorder point calculator, or size your buffer with the safety stock calculator.

A simple system to start this week

  1. List every scent and size as its own variant in Shopify with accurate on-hand counts.
  2. Enter each supplier's lead time, including separate component suppliers if your vessels and fill come from different places.
  3. Set case pack sizes and minimum order quantities per SKU so suggested orders match what suppliers will actually accept.
  4. Build in extra safety days for any SKU with a history of breakage or partial shipments.
  5. Review the weekly reorder email before holiday scent season starts, not after it's already underway.
  6. Record fragrance oil batch numbers and expiry dates in a separate system, since SteadyShelf does not track that.

How SteadyShelf fits home fragrance and diffuser brands

SteadyShelf forecasts demand per scent and size variant, tells you when to reorder each one based on your supplier's lead time, and drafts the purchase order for you to approve and send. It does not track fragrance oil batches, expiry dates, or component-level bill of materials, so if your candles use a wax or oil with a shelf life, you'll need to monitor that separately. It also doesn't handle landed cost calculations for imported components, which matters if you're importing glass vessels alongside domestic fill.

FAQ

Does SteadyShelf track fragrance oil or wax expiry dates?

No. SteadyShelf forecasts and reorders by sales velocity, not by shelf life or batch number. If your fragrance oils or wax have expiry dates, track those in a separate spreadsheet or your supplier's batch records, and factor shelf life into how much safety stock you choose to carry.

Can SteadyShelf handle a candle that uses a vessel from one supplier and fragrance fill from another?

SteadyShelf tracks reorder timing per SKU based on one supplier and one lead time per product. If your finished candle depends on two separate suppliers, you'll need to set the order-by date around whichever supplier has the longer lead time, and manage the component-level coordination yourself outside the app.

What happens if a shipment of glass diffuser bottles arrives with breakage?

SteadyShelf supports receiving partial stock, so you can log the quantity that actually arrived in good condition rather than the quantity ordered. This updates your on-hand count accurately, which keeps future reorder suggestions correct even after a short or damaged shipment.
