Inventory management for Shopify fragrance brands

Fragrance brands live and die by a few hero SKUs sold across many sizes and strengths. Running out of your best-selling 50ml eau de parfum during a gifting rush costs more than a month of slow stock ever will.

The inventory problems fragrance brands run into

  • Variant sprawl. One scent can ship as EDT, EDP, parfum, rollerball, travel spray, and gift set, each with its own SKU and sales pattern, so forecasting by "product" instead of by variant hides stockouts on your best size.
  • Batch and expiry limits. Perfume has a shelf life, usually a few years once opened and sometimes shorter once reformulated, and overstocking a slow variant means you end up discounting or writing off expired stock.
  • Long overseas lead times. Many fragrance brands source concentrate, bottles, or finished product from overseas manufacturers, and these suppliers often take several weeks to produce and ship, so a late reorder can mean months without a bestseller.
  • Gift sets and bundles. Holiday and Valentine's gift sets combine components from different SKUs, and tracking the individual bottle, cap, and box inventory that feeds into a bundle is a different job than tracking the finished bundle itself.
  • Packaging and component shortages. A finished fragrance order can be blocked by a single missing part, like a specific atomizer or outer box, even when the juice itself is in stock.

Seasonality and demand

Fragrance sales spike hard around Christmas, Valentine's Day, and Mother's Day, with smaller lifts around graduation and wedding season. Demand for lighter scents often rises in spring and summer while heavier, warmer scents sell more in autumn and winter. Because production lead times for bottles and concentrate are long, you need to place holiday orders months ahead, well before you see the sales spike in your own data. Plan safety stock higher heading into Q4 for your top 3-5 SKUs, and treat new launches carefully since they have no sales history to forecast from.

Suppliers, lead times and minimums

Fragrance brands typically work with contract manufacturers or fillers for the juice, separate bottle and component suppliers, and sometimes a packaging printer for boxes and labels. Domestic fillers may turn around smaller batches in a few weeks, while overseas glass and component suppliers often take longer and may require you to order months ahead. MOQs are common and can be steep, often set in the thousands of units for bottles or components, though finished goods contract fillers sometimes offer smaller case-pack minimums for reorders of an established scent.

Worked example

Say your 50ml EDP of your bestselling scent sells an average of 6 units a day. Your filler's lead time is 40 days and you keep 10 safety days, so your reorder point is 6 x (40 + 10) = 300 units. You currently have 150 units on hand and 0 on order, and you want 60 days of cover, so order quantity = 6 x (40 + 60) - (150 + 0) = 600 - 150 = 450 units. If your filler's case pack is 144 units, you would round up to 504 units (3.5 cases rounds to 4 cases) to avoid triggering another small order soon after.

Try it with your own numbers in the reorder point calculator, or size your buffer with the safety stock calculator.

A simple system to start this week

  1. List every scent and size as its own SKU, not grouped under one product name, so forecasts reflect real sell-through per variant.
  2. Get actual lead times in writing from each filler, bottle supplier, and packaging printer, including their stated MOQs and case packs.
  3. Set your reorder point and safety days higher for Q4 and major gifting holidays, and place those orders early in the year if lead times demand it.
  4. Track expiry dates and shelf life outside SteadyShelf in a simple spreadsheet or your filler's batch records, and rotate older stock to the front of fulfillment.
  5. Watch component-level shortages (caps, pumps, boxes) separately since a finished SKU can stall even when the fragrance itself is ready.
  6. Review your weekly reorder email against upcoming launches and promotions, since new SKUs need manual judgment until they build sales history.

How SteadyShelf fits fragrance brands

SteadyShelf forecasts each fragrance variant (scent, size, concentration) separately with seasonality, so it can flag your bestselling 50ml EDP before it runs out ahead of a holiday peak, and it rounds suggested orders to your filler's case packs and MOQs. It does not track batch numbers or expiry dates, so you still need a separate system to manage shelf life and rotation, and it does not manage bundles, so gift sets need manual stock checks on their component SKUs.

FAQ

Can SteadyShelf track expiry dates on my fragrance batches?

No. SteadyShelf forecasts and reorders by SKU but does not track lot numbers or expiry dates. Keep a separate batch log, ideally from your filler's production records, and use first-in-first-out picking in Shopify to sell older stock first.

How does SteadyShelf handle gift sets that bundle multiple scents or sizes together?

SteadyShelf does not manage bundles or the component relationships behind them. It will forecast and reorder the individual bottle SKUs you sell on their own, but if a gift set consumes stock from those same SKUs you need to track that draw-down manually or in a separate bundling tool.

My bottle supplier is overseas with a high MOQ. How does SteadyShelf help me plan for that?

You enter that supplier's lead time and MOQ or case pack into SteadyShelf, and it calculates your order-by date and suggested quantity rounded up to meet the minimum. It will not place the order for you beyond drafting and emailing the PO on your approval, and it does not track landed cost, so duties and freight still need to be calculated separately.
