Inventory by store type

Inventory management for Shopify balloon stores

Balloon stores juggle hundreds of variants in foil and latex, by color, size, and shape, and most of it ships from a handful of overseas factories. Getting reorder timing wrong means empty bins on a Friday before a Saturday full of birthday parties.

The inventory problems balloon stores run into

  • Huge variant counts. a single "12 inch latex" line can split into 20+ colors, and foil shapes multiply that further with numbers, letters, and licensed characters.
  • Seasonal licensed stock. character and holiday balloons (graduation caps, pumpkins, Santas) sell hard for a few weeks then sit dead, so overordering ties up cash in unsellable stock.
  • Long overseas lead times. many foil balloons and novelty shapes come from factories in Asia, often with freight on slow boat shipping, so a stockout can take weeks to fix.
  • Minimum order quantities per color or design. suppliers often require case packs per SKU (e.g. 50 units of a single color), which forces you to buy more of slow colors just to hit the minimum on a popular design.
  • Color balance forecasting. solid-color latex balloons sell unevenly (red and gold move faster around holidays, pastels move for baby showers), making flat reorder rules unreliable without variant-level history.

Seasonality and demand

Balloon demand follows the calendar closely. Valentine's Day, graduation season, Halloween, Christmas and New Year, and back-to-school birthdays each create sharp spikes for specific colors and shapes. Mylar number balloons and gender-reveal colors (pink and blue) sell steadily year-round but spike around baby shower season in spring and early summer. Because lead times from overseas suppliers are long, you need to place orders for seasonal shapes well before the season starts, often while the prior season's stock is still selling down. Planning backward from the peak date, using your supplier's lead time, is more reliable than reacting to a sudden sales spike.

Suppliers, lead times and minimums

Most balloon stores buy from a mix of domestic distributors and overseas manufacturers. Domestic distributors carry broad catalogs of standard latex and foil shapes with shorter lead times, often a week or two, but higher per-unit cost. Overseas factories, mostly in China, offer lower prices and custom or licensed designs but often take several weeks to a couple of months including shipping, and usually require case pack minimums per color or design, sometimes bundled into mixed cartons. Some stores also source novelty and licensed character balloons through specialty wholesalers with their own minimums tied to specific characters or seasons.

Worked example

Say you sell a 36 inch foil number "5" balloon in gold. You average 2 units a day during an average week. Your overseas supplier has a lead time of 30 days, and you keep 7 safety days for shipping delays. Reorder point = 2 x (30 + 7) = 74 units. If you want 45 days of cover and you currently hold 40 units with 0 on order, order quantity = 2 x (30 + 45) - (40 + 0) = 150 - 40 = 110 units, which you would then round up to the supplier's case pack of 120.

Try it with your own numbers in the reorder point calculator, or size your buffer with the safety stock calculator.

A simple system to start this week

  1. List every variant separately in Shopify: color, size, and shape as distinct SKUs, not just parent products.
  2. Record each supplier's real lead time, including shipping, not just production time.
  3. Set safety days higher for overseas foil and licensed designs than for domestic latex restocks.
  4. Flag seasonal SKUs (holiday shapes, graduation, licensed characters) and plan order-by dates working backward from the peak week.
  5. Check each supplier's case pack and minimum order quantity so suggested order quantities round up correctly instead of leaving you short.
  6. Review the weekly reorder email before the weekend rush, since most balloon sales cluster around Fridays and Saturdays.

How SteadyShelf fits balloon stores

SteadyShelf forecasts each balloon variant on its own, including seasonal color and shape patterns, and tells you the order-by date per SKU based on your supplier's lead time, so you can plan for graduation or Halloween stock while last season's inventory is still selling. It rounds suggested quantities to your supplier's case packs and drafts the purchase order for you to approve and send. It does not track expiry, and while latex and foil balloons do not expire in the traditional sense, old stock can lose elasticity or color vibrancy over time, so you should still track how long specific seasonal or licensed designs have sat on the shelf yourself.

FAQ

Does SteadyShelf handle licensed character balloons that only sell for a few weeks a year?

It forecasts based on your sales history for that SKU, so once you have a season or two of data, it can suggest an order-by date that accounts for the spike. For brand-new licensed designs with no history, you will need to set the first order manually based on your own judgment.

Can it manage balloons sold as part of bundles, like a balloon arch kit with multiple colors?

No. SteadyShelf does not handle bundles or kits. It forecasts and reorders each individual balloon SKU, so if you sell bundles, you will need to track the component balloons separately and make sure your bundle listings do not hide the individual variant sales data.

What about balloons I get shipped to a second retail location or warehouse?

SteadyShelf does not do multi-location transfers. It tracks inventory and reorder points at the level Shopify reports stock to it, so if you run multiple locations, you will need to manage transfers between them outside the app.
