How to rebuild purchase orders after leaving Stocky
Export your open purchase orders and supplier list from Stocky before you lose access, then recreate suppliers and lead times in your new system and rebuild open POs as new draft orders.
Short answer: Export your open purchase orders and supplier list from Stocky before you lose access, then recreate suppliers and lead times in your new system and rebuild open POs as new draft orders. Do not try to migrate historical PO records exactly. Focus on getting current open orders and supplier terms right so reordering keeps working.
What to export first
Before closing out Stocky, export every open purchase order, your supplier list, and your variant-level sales history if it lets you. Save these as CSV files on your computer, not just in the app. You want supplier names, contact emails, lead times, cost prices, and case pack sizes if Stocky tracked them.
Why you cannot do a clean migration
No app can import another app's purchase order history as live, editable POs. The receiving status, partial deliveries, and cost history in Stocky are tied to its own database. Treat old POs as closed records for your own files, and start new open orders fresh in whatever system you move to.
Rebuilding supplier records
Recreate each supplier with their lead time in days and any minimum order quantity or case pack rule. This is the part worth getting right, because your reorder point and order quantities depend on accurate lead times. Pull these numbers from your exported supplier list or from old POs if the list is incomplete.
Rebuilding open orders
For any PO still open with a supplier when you left Stocky, check what has shipped and what is outstanding. Create a new draft PO in your new system for the outstanding quantity only. Mark it as already partly received if some stock is on hand, so your on-hand plus on-order numbers are correct from day one.
Step by step
- Export open POs, supplier list, and sales history from Stocky as CSV files
- List every supplier with their lead time in days, minimum order quantity, and case pack size
- Check each open PO for what has already shipped versus what is still outstanding
- Create new draft POs for outstanding quantities only, not the full original order
- Receive any partial stock already on hand against the new draft so totals are correct
- Set up reorder points per SKU using the restored lead times before you rely on any forecast
- Archive the exported Stocky files somewhere safe in case you need historical cost data later
Worked example
A store had an open PO with a supplier for 200 units of a candle, lead time 14 days. Stocky's records show 120 units already received, leaving 80 outstanding. In the new system they create a draft PO for 80 units at the same supplier cost, and receive the 120 already in hand separately so stock counts match reality. Going forward the supplier is set up with a 14-day lead time and a 5-day safety stock, so reorder point becomes daily sales of 4 units x (14 + 5) = 76 units.
How SteadyShelf helps
SteadyShelf can take over ongoing reordering once you set up your suppliers with their lead times, but it cannot import or recreate your old Stocky purchase order history. You will need to manually enter outstanding orders and current stock levels as a starting point, then let it forecast and draft POs from there.
$29/month flat, unlimited products and suppliers, 30-day free trial. Run the numbers now with the free reorder point calculator.

FAQ
Can SteadyShelf import my old Stocky data directly?
No. There is no direct import from Stocky. You need to export your supplier list and open orders yourself, then enter suppliers, lead times, and any outstanding POs manually when you set up SteadyShelf.
What happens to my stock levels if I do not reconcile partial receipts correctly?
Your on-hand and on-order numbers will be wrong, which throws off reorder points and order quantities. Always check what has actually shipped and what is on your shelves before creating a replacement draft order, and receive stock in Shopify to match reality.
