What is Return to vendor?
Return to vendor is the process of sending purchased stock back to the supplier, usually because it arrived damaged, defective, or incorrect.
Returns to vendor affect your available stock and your records. If you mark stock as received but later send part of it back, your on hand count needs to drop again, or you will think you have more sellable units than you do.
For a small store, track return to vendor cases by SKU and reason. If one supplier keeps sending damaged goods, that is a lead time and reliability problem, not just a quality one, because the replacement shipment adds delay on top of the original lead time.
Example
A candle store orders 200 units of a jar candle. On receiving, 15 arrive cracked. The store returns those 15 to the vendor and receives 185 into Shopify. The vendor ships 15 replacements two weeks later, which the store receives separately when they arrive.
Common mistakes
- Receiving the full ordered quantity into inventory before checking for damage, then forgetting to subtract returned units.
- Not logging the reason for return, which makes it hard to spot a pattern with a specific supplier.
- Treating the replacement shipment as part of the original delivery instead of a new inbound shipment with its own timeline.

FAQ
Does returning stock to a vendor change my inventory count?
Yes. Once you send units back, they should no longer count as on hand stock, even if you had already received the original shipment into your system.
Should I reorder the returned units right away?
Only if you still need the stock. Check current demand first, since the replacement shipment will have its own lead time and may arrive after you need it.
