Inventory glossary
What is Order frequency?
Order frequency is how often a store places a purchase order for a given product or supplier, such as weekly, monthly, or every 45 days.
Order frequency shapes how much cash sits in inventory and how much time you spend on purchase orders. Ordering too often eats staff hours and can trigger small-order fees from suppliers. Ordering too rarely means you need to hold more safety stock to cover the longer wait, which ties up cash and shelf space.
Most small stores set order frequency by product speed. Fast sellers get ordered more often in smaller batches to keep cash free. Slow sellers get ordered less often, sometimes bundled with other SKUs from the same supplier to hit minimum order quantities or price breaks.
Formula
Example
A candle store sells 100 units a month of its best candle and orders every 30 days, so order frequency is 12 times a year. A slower scent sells 20 units a month and the owner batches it with other SKUs from the same supplier, ordering every 60 days, so order frequency is 6 times a year.
Common mistakes
- Ordering too often for low-volume SKUs, which wastes time and increases freight cost per order.
- Ordering too rarely for fast movers, which raises stockout risk.
- Setting one order frequency for all suppliers instead of matching it to each supplier's lead time and MOQ.

FAQ
How do I choose the right order frequency for a product?
Weekly ordering uses more staff time but keeps cash tied up in stock lower. Monthly ordering saves time but means you need more safety stock to cover the longer gap between orders.
Does order frequency affect how much safety stock I need?
Yes. Suppliers with MOQs or price breaks at higher volumes often push you toward ordering less often but in bigger batches, even if that means carrying more stock.
